What we hold, and why

Written from what the software actually does, not from a template.

The short version

We collect what we need to match you with a coach, run the coaching, and get people paid. We do not sell anything about you and we do not advertise to you. What you say in a coaching session is not ours to read.

What we collect

If you come for coaching: your name, email, the category you want, your sessions and when they happened, what you paid, any prep work you submit, and the rating and review you leave.

If you apply to coach: all of the above, plus your phone number, country, timezone, your training progress, and the answers on your application — including your testimony and your church, and your answers to our two disclosure questions.

Everyone: we keep a record of the agreements you sign, and the email address you sign in with.

Your faith, specifically

We ask coach applicants about their conversion and their church because this is a Christian network and that is central to who we are. In many countries information about religious belief is treated more carefully than ordinary personal information, and we treat it that way too.

We ask for it only from people applying to coach, never from clients. We ask your explicit permission on the application form before you give it. It is read by the people deciding on your application and nobody else, and if you ask us to delete it we will.

What is said in a coaching session

Your coach keeps notes of your sessions. Those notes belong to the coaching relationship. Administrators can see that a session happened, how long it ran and whether it was held — they do not read what was said. This is built into the software, not only promised here.

The exceptions are the ones you would expect: where someone is at risk of serious harm, or where the law requires disclosure.

Who else sees your information

CompanyWhat for
StripeCard payments. They take your card details directly — we never see or store them.
ResendSends our email: sign-in links, session notes you ask for, notifications.
CloudflareHosts the site and the database.
TremendousSends referral gift cards. Only used if you earn one, and only your name and email.

That is the whole list. There are no advertising networks, no analytics brokers, and nobody buying data from us.

Where your information is stored

Our database is run by Cloudflare. The main copy is in North America, with a read-only copy in Asia-Pacific so that people on that side of the world are not waiting on every page.

If you are outside the United States, this means your information is stored and processed there. Using the service means you understand that.

Cookies

Two, both necessary, neither used for tracking:

  • pcn_session — keeps you signed in.
  • d1b — a short-lived marker so that after you save something you are shown your own change rather than an older copy.

No advertising or analytics cookies are set.

How long we keep things

  • Session notes — for the coaching relationship and two years after it ends.
  • Applications we turned down — twelve months, then deleted.
  • Payment records — as long as tax and accounting rules require.
  • Your account — until you ask us to close it.

What you can ask for

Write to tom@practicalcoachingnetwork.com and we will:

  • send you a copy of what we hold about you;
  • correct anything wrong;
  • delete what we are not required to keep;
  • tell you plainly if something cannot be deleted, and why.

We answer within 30 days. There is no form and no fee — it is one person reading your email.

If something goes wrong

If information is exposed in a way that could harm you, we will tell you and the relevant authority promptly, and say what happened rather than what sounds best.

Children

This service is for adults. We do not knowingly take anyone under 18 as a client or a coach.
